01.Why contractor replies matter
Homeowners compare a few trades before they call one. Your replies are part of that comparison.
A reply that names the job and stays calm about complaints says you'll be easy to work with, before anyone picks up the phone.
Rachel D.
New water heater installed, clean and quick.
Before
Response from the owner
Thanks Rachel! Glad the new heater at 42 Elm St is working great.
After
Response from the owner
Thank you, [Name]! We're glad the water heater install went smoothly. Thanks for trusting us with your home.
02.The reply flow
Three steps for every review, good or bad.
- Step 1
Name the job type
“The [job type] went smoothly.”
- Step 2
Thank the crew
“I'll make sure [tech/crew] sees this.”
- Step 3
Complaints go to the owner
A direct phone or email, not a debate.
03.Anatomy of a reply to a no-show
Missed appointments are the most common trades complaint. Here's a reply that handles one in three sentences.
Victor S.
Waited all morning and no one came.
Response from the owner
Hi Victor, I'm sorry we missed the time we promised.1 That's on us to fix.2 Please call me directly at [phone] so we can sort it out.3
Anatomy of the reply
- 1 Name and apologise
- 2 Own it, no excuses
- 3 Direct line to the owner
04.What to leave out
Most risky trades replies come from being too specific. Swap these out.
| Avoid saying | Say instead |
|---|---|
| “Glad the new roof at 12 Oak Ave came out great!” | “Glad the new roof came out the way you hoped.” |
| “The invoice was $2,340, exactly as quoted.” | “I'll go over the invoice with you. Please call [phone].” |
| “Our tech says you weren't home.” | “I'm sorry we missed each other. Please call so we can rebook.” |
| “That wasn't our van.” | “Safety on the road matters to us. Please contact me so we can look into it.” |
05.Do and don't
Do
- Mention the job type
- Thank the tech or crew by name
- Own lateness: “That's on us to fix”
- Offer to go over the invoice privately
Don't
- Post the address or neighbourhood
- Quote prices or invoice details in public
- Argue about whether a delay was your fault
The reply isn't for winning the argument. It's for the next homeowner deciding who to call.

08.Questions, answered
Should I mention the job in my reply?
Mention the type of job, like “the water heater install”, so it's clear you read the review. Leave out the address, street or anything that identifies the home.
How do I reply to a price dispute?
Thank them for raising it, say you want quotes to be clear, and offer to go over the invoice privately. Don't post amounts or invoice details in public.
What if the complaint is about a truck or driver?
Apologise for the experience they described, say safety on the road matters to you, and give a direct number so you can look into it. Don't argue about whether it was your vehicle.
Should I thank the crew by name?
If the reviewer named them, yes. It's good for morale and shows a real person read the review. Use first names only.
Can ReplyDesk write replies for trades?
Yes. We mention the job type from the review, credit the crew, and leave out addresses and invoice details. Negative replies come to you for approval first.
